Within the main meeting button bar you will the Time Settings (timer) button. This button can be accessed when building a meeting as well as when running a meeting. Use this button to access the time related functions of the meeting.
The first time you press this button, Summit will default to Simple Notifications. This is a great place to start when you first begin using Summit. In this mode, you can select a sound theme and a particular chime that will play when you are running out time for an agenda item. Once you're at the time limit for an agenda item, the chime will be played twice. Press the small play button to preview the chime.
For a richer experience, slide the switch at the top of the window to Advanced Notifications. In this mode you will have more notifications and full control over every aspect.
You will continue to have chimes for Time Warnings when an agenda item is running out of time as well as Time Limits when an agenda item's time is up. In addition you will also have chimes for the Start of the Meeting as well as the End of the Meeting. Each event has its own unique chime and you can change the sound of each within the same theme. You can also set up chimes to repeat multiple times, especially helpful for meetings where the discussions can be energetic.
Tip: The Start of Meeting and End of Meeting chimes can be particularly effective at signaling to your meeting attendees that the meeting is beginning or has ended. Within a few meetings, your attendees can learn to recognize these tones and know to quiet down so that the meeting can begin or to start departing the meeting.
And if you don't desire a tone notification, simply click the Notification popup menu and change the notification to Window Flashes or Speaking your notification using your operating system's voice. You can turn the notifications entirely off by selecting the blank menu item in the Notification popup menu or any of the meeting event notifications such as Start of Meeting.
PRO Only: If you're using the PRO version of Summit, whether fully registered or within the 30-day trial, you can take advantage of Advanced Notifications. Why limit your meeting effectiveness and let time pass by without anyone noticing you've gone over time on a topic. Let Summit PRO help you win and stay on track.
The bottom of the Time Settings window is the same regardless of whether you're using simple or advanced notifications and includes the following items...
Time to Warn Before Time Limit: Use this popup menu to set how much time you want to be warned with a notification before you reach the agenda's time limit. For example if my current agenda item is scheduled to run for 10 minutes, setting the Time to Warn Before Time Limit to 2m will result in a time warning notification 8 minutes into this Agenda item. This is also when the bar beneath the agenda item segment under Windows or outline of the segment under macOS will turn yellow.
Over Time Limit Action: Use this setting to determine how Summit should handle what happens when you hit the time limit for an agenda item...
Automatically move to the next agenda item: This is the setting that will be preferred by meeting PROs. In this scenario, you cannot go over time for an agenda item and must stay on track to ensure that the topic ends on time or earlier. At the time limit, Summit will automatically mark the current agenda item as complete and move you to the next one.
Reduce time from earlier agenda items: Using this setting will allow you to go over time for an agenda item. As you consume more time for the agenda item than scheduled, Summit will need to take time from other segments to compensate so that your meeting continues to end on time. This setting will take time from left to right starting with the next unfinished agenda item.
Reduce time from later agenda items: Using this setting will allow you to go over time for an agenda item. As you consume more time for the agenda item than scheduled, Summit will need to take time from other segments to compensate so that your meeting continues to end on time. This setting will take time from right to left starting with the last unfinished agenda item.
Reduce time equally from agenda items: Using this setting will allow you to go over time for an agenda item. As you consume more time for the agenda item than scheduled, Summit will need to take time from other segments to compensate so that your meeting continues to end on time. This setting will take time equally from all unfinished agenda items.
Note: If you go over time for an agenda item, the bar beneath the segment under Windows or outline under macOS, will turn red denoting that you're over time.
The time settings are tied to each particular meeting and therefore each meeting can have its own unique settings. You can also setup your default time settings within Summit's app Settings.
