Sherpa 1.4.0 Delivers Integrated Payments, Tax Reporting, and Workflow Upgrades for Decorator Shops

Ministry of Bits today announced Sherpa 1.4.0, the largest update to its shop management platform since launch. Sherpa now includes integrated payment links for Stripe and Square, instant tax reporting, smarter pricing tools, and powerful scheduling controls that help screen printing and embroidery shops protect deadlines without adding complexity.

Since its debut in January, Sherpa has focused on bringing pro grade, locally run tools to decorator apparel shops, including automated screen label printing, a real time Status Board, and tight integration with Sidekick for iPad and the Atlas customer portal. Version 1.4.0 builds on that foundation and focuses squarely on cash flow, accuracy, and day to day usability.

Get Paid Faster with Integrated Stripe and Square Payments

Sherpa 1.4.0 introduces secure, built in payment links for both Stripe and Square. Shops can now add pay links directly to quotes and invoices, allowing customers to pay deposits and final balances without back and forth emails or separate payment systems. Payments land on the correct job and Sherpa keeps everything in sync so shops spend less time reconciling and more time printing.

A new Copy Payment Link button and updated email tools make it easy to paste pay links into any message, or generate a link without sending an email at all. The updated workflows also respect customer terms, with clear guidance on when a pay link is or is not available.

Instant, Accountant Ready Tax Reporting

The new Tax Report gives owners and bookkeepers a one click, CSV based snapshot of tax totals by job. Sherpa compiles job by job detail and exports it in a format that can go straight to an accountant or into accounting software. This removes end of month and end of quarter tax guesswork and helps shops stay ahead of their obligations.

Additional tax changes in 1.4.0 ensure taxes are applied on a per job item basis, better respect tax exempt customers, and keep the on screen presentation of tax information consistent with what appears on Quotes, Invoices, and the new Tax Report.

Smarter Pricing with Linked Quantities and Custom Tier Selection

Sherpa 1.4.0 adds a new Link button to the Pricing tab so shops can combine quantities from related apparel items that share the same artwork. For example, 25 men’s tees and 25 women’s tees with similar decorations can be linked and priced as a single 50 piece run instead of two separate 25 piece jobs. This keeps pricing accurate without manual math, and the links are clearly represented in Quotes, Invoices, and payment workflows.

Quotes now support custom next tier selection when a job uses a single price matrix. This gives shops more control over how to present break points and “next tier” savings while keeping multi matrix jobs clean by encouraging separate jobs where needed.

Behind the scenes, pricing controls have been refined to be more self explanatory, with clearer labels, better defaults, and new Calculate and Use Settings Value buttons that keep complex pricing consistent across jobs.

Clone Jobs and Screens Without Rework

The new Clone Job option in the Job Organizer opens a customization dialog that lets users choose exactly what should carry forward into the new job, including customer, apparel details, artwork, placements, estimates, and more. Instead of duplicating everything and cleaning it up afterward, shops start with a precise copy tailored for repeat orders, reorders, or similar campaigns.

Screen management also gets a major upgrade. A new Clone Screen option makes it easy to duplicate a screen to one or many new screens at once, including frame type, dimensions, mesh count, manufacturer, model, usage limits, and other key details. This streamlines building and maintaining screen inventory, especially when shops keep multiple copies of their standard frame and mesh combinations.

Firm vs Flexible Deadlines and Locked Scheduling

Sherpa 1.4.0 introduces the concept of Firm and Flexible in-hand dates. A new control in Job Details lets shops mark each job’s required date as firm or flexible, and a new setting lets owners choose which option should be the default for new jobs. On the schedule, firm deadlines are clearly prefixed so it is obvious which events cannot be casually moved.

To protect production commitments, the Job Organizer schedule now only allows edits when a job’s in-hand date is flexible. For those rare situations where a firm job must move, an Override firm lock checkbox lets users temporarily relax the restriction and make the necessary changes. This strikes a balance between protecting the calendar and maintaining full control when it is truly required.

New filters in the Job Organizer also allow shops to slice their workload by in-hand date range or by firm versus flexible jobs, making it easier to prioritize and plan the week.

Hundreds of Refinements Across the Sherpa Suite

Beyond these marquee additions, Sherpa 1.4.0 includes a long list of improvements and fixes focused on day to day usability:

  • Clearer Quotes and Invoices with improved next tier pricing, artwork details, apparel descriptions, and zero balance documents that now read as Receipts instead of Invoices.

  • New options for including apparel and artwork details in PDFs, along with smarter handling when information is missing, so customer facing documents stay clean and professional.

  • Expanded Guidepost highlights and scheduling logic that better reflect real world workflows, including improved handling of preproduction, production, and postproduction phases.

  • A refreshed Job Organizer that sorts by Next In Hand Date instead of last modified time and better protects jobs with existing payments.

  • Visual and performance upgrades such as a new loading overlay when opening jobs, updated icons, more consistent dark mode behavior, improved Windows tray icon, and a full layer of tooltips across the app.

Together, these changes make Sherpa feel faster, clearer, and more predictable for both new and experienced users, while reducing the chance for small mistakes that can slow a shop down.

Built for Decorators, Not Generic Back Office Work

Sherpa remains focused entirely on decorator apparel shops. The core desktop app runs locally on macOS and Windows, delivering responsive performance without the lag associated with many cloud first tools. Sidekick for iPad keeps the production floor in sync with the office, and the Atlas customer portal gives customers a clean, branded way to submit orders that flow directly into Sherpa.
