Why is a Meeting Being Held?

One of the first questions to be answered, whether you're creating a meeting or invited to attend, is why the meeting is being held. There should be some very tangible reasons to have a meeting and consume people's time. If there aren't, then maybe the meeting is unnecessary and shouldn't happen.

If you're creating a meeting, the invitation should contain a clearly defined purpose. This should include why the meeting is being held and ideally the intended outcome that is being sought. This purpose should be clear and understandable by all meeting attendees.

The next item to consider are your agenda items. Each one of them should support the purpose of the meeting and if one or more do not, you might want to consider whether they should be included in the agenda. If you're having a staff meeting, you might have topics that may not have anything directly to do with the purpose but instead are part of an overall meeting model such as introductions, ice breakers, recognitions, etc.

If you keep these things in mind when crafting a meeting, you will have taken the first step in helping to ensure your meeting is successful for all.
